The mission goal
The employees in your company have the option of taking their own employee photo and/or updating it at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to identify themselves to 100% at any time with their individual employee photo.
The staff photos are automatically cut to the appropriate format, removed from disturbing elements in the background and optionally saved in various dimensions and aspect ratios.
A suggested solution
You position a photo booth optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, like at a passport photo machine, and see the instructions for the necessary steps on the screen.
The screen serves as a touchscreen at the same time as an input terminal for the required data, such as B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the company ID card. The information recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a confirmation option for internal/external assignments of the employee portrait.
After the employee picture has been taken, the background of the recording can be automatically replaced with one or many backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and positioned at a specified location on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the file. We would be happy to help your IT department define the interface.
A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place in different dimensions at the same time.

Logically, each file can also be “personalized” with a company logo and/or the name and position of the employee will be visible on the image.

How does the employee get their photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employees to get their picture digitally.
- Enter the email address at the end of the photo sequence.
The captured photo is then immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to copy the original recording and the various versions for the various target systems. - Download from an offline gallery via QR code
The Photobox provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The price for purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
