What should be achieved?
The staff in your company have the option of creating and/or updating their own employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this is done in the form of a self-service process and that extra staff are not required on site.
You give your staff the chance to identify themselves completely around the clock with their own employee photo.
The personal photos are automatically cut to the ideal format, annoying elements in the background are removed and, if desired, saved in different formats and aspect ratios.
The solution
You position a photo booth perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, analogous to a passport photo machine, and see the instructions for the necessary steps on the monitor.
The screen serves as a touchscreen at the same time as an input terminal for the required data such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is simply read in from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a sharing option for internal/external use of the recording.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned in a specified position on the final image.
The photo is saved in a size and aspect ratio defined by you (eg square for Active Directory). The name of the picture is used to compare the photo taken with the in-house employee data record. We would be happy to help your IT department define the interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place synchronously in many dimensions.
So you always have the ideal photo for
Instagram, LinkedIn, XING, Twitter, WhatsApp & Co, Facebook, Outlook
etc. within easy reach.
Of course, each file can also be “personalized” with company logos and/or the employee's name and position can be included in the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory can benefit from the new recordings, there are three different ways for the staff to get their picture digitally as well.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the staff has to dial into.
At the end of the sequence, a QR code will appear on the screen. The QR code leads to the offline gallery where staff can copy their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.

At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the staff can use to load their original photo and the various formats for the various target systems.
Additional uses
To get the most out of your investment, you have the following options:

The need for investment
The investment for the purchase of such an optimized photo box starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over directly.
