The use of a photo box for employee photos
The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the chance to identify themselves completely around the clock with their individual employee photo.
The staff photos can be automatically adjusted to the best possible format, freed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
A suggested solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box, analogous to a passport photo machine, and read the instructions for the necessary actions on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the required data, e.g. B. Personnel number, first name, last name and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data is read in immediately from the employee ID card. The information recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the photo.
After the photograph of the employee picture has been taken, the background of the photo can be automatically exchanged for one or several backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and positioned in a specified position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the recorded image and the internal employee data record takes place via the file name. We would be happy to help your IT department clarify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image can be output in many sizes at the same time.

Logically, each file can also be “branded” with company logos and/or the name and position of the employee can be immediately included in the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new images, there are three different ways for the employee to choose to receive their image as a file.
- Entry of the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The photobox provides a private WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where employees can download their recordings. In contrast to the online gallery, this path only works in the direct vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the various sizes for the different target systems.

In order to make the best possible use of the acquisition, you have the following options:

The need for investment
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
