What should be achieved?

The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed location or at a rotating location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that no extra personnel is needed on site.
You give your staff the chance to identify themselves 100% with their individual employee photo.

The staff photos can be independently optimized to the right format, freed from disturbing elements in the background and optionally saved in different sizes and aspect ratios.

The solution

You place a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photobooth in the same way as with a passport photo machine and see the operating instructions for the necessary steps on the screen.

The screen serves as a touch screen in parallel as an input terminal for the necessary information such as B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read out immediately from the company ID card. The data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the employee profile.

After photographing the employee portrait, the background of the image can be automatically replaced with one or various backgrounds specified by you. Likewise, the head of each photo is located, adjusted to a specified size and positioned at a defined point on the final image.

The image is saved in a size and format specified by you (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the file name. We would be happy to help your IT department clarify the connection.

A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place in several dimensions at the same time.

Logically, each file can also be “branded” with logos and/or the name and position of the employee can be included in the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory can benefit from the new images, there are three different ways for the employee to choose from to also receive their image digitally.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where the employee can load his photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email inbox.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the worker can use to download their original photo and the different sizes for the different target systems.

In order to take full advantage of the purchase, you have the following possible uses:

The need for investment

The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course there is also the possibility to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
