The use of a photo box for employee photos

The staff in your company have the opportunity to photograph their own employee photo and/or update it at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
This gives your workforce the option of fully identifying themselves around the clock with their personal employee photo.

The staff photos are automatically optimized to the appropriate format, freed from annoying elements in the background and saved in several dimensions and aspect ratios if desired.

One possible solution

You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary actions on the touchscreen.

The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read directly from the business card. The data recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal/external use of the employee portrait can also be displayed.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also determined, scaled to a specified size and placed in a specified position on the final image.

The image is saved in a size and format specified by you (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in determining the interface.

A biometric check and an adaptation to a biometric ID photo are available as options.
The image output can take place synchronously in various sizes.

Logically, each file can also be “personalized” with company logos and/or the name and position of the employee can appear directly on the image.

How did the staff get the photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to get their picture as a file.

1. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's inbox.
2. Download from an offline gallery via QR code
   The photobox provides a private WLAN that the staff has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where staff can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the different sizes for the various target systems.

Other deployment options

In order to get the most out of your investment, you have the following options:

• Photo attraction at customer events & meetings
• Use at trade fairs to produce personalized “flyers”

The cost frame

The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is retained.
