The use of a photo box for employee photos
The employees in your company are given the opportunity to photograph and/or update the individual employee photo at a fixed or regularly changing location (e.g. in the dining room or company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to identify themselves to 100% around the clock with their own employee photo.
The personal photos can be automatically cut to the optimal format, removed from disturbing elements in the background and optionally saved in different shapes and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit down in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary actions on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read directly from the business card. The information recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the employee report can also be displayed.
After the employee picture has been photographed, the background of the picture can be automatically replaced with one or various backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and positioned in a defined position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the file is used to compare the photograph taken with the in-house employee data record. We would be happy to help your IT department clarify the connection.
As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can take place synchronously in some formats.

Logically, each file can also be “personalized” with company logos and/or the employee's name and position can appear directly on the image.

How does the employee get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to get his picture as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to download the original recording and the different versions for the different target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's email inbox.
Alternative uses
In order to make the best possible use of your investment, you have the following options:

The need for investment
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
