The mission goal

The employees in your company have the option of photographing and/or updating their own employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to always fully identify themselves with their own employee photo.

The personal photos can be automatically adapted to the appropriate format, removed from annoying elements in the background and, if desired, saved in different dimensions and aspect ratios.

The solution

You position a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box in the same way as with a passport photo machine and see the operating instructions for the necessary steps on the monitor.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel number, first name, family name and/or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data can be read immediately from the company ID card. The employee data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the employee profile.

After the employee photo has been taken, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a specified position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the file is used to compare the photograph taken with the internal employee data record. We would be happy to support your IT department in clarifying the import interface.

A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in different sizes at the same time.
So you always have the right photo for

Logically, each file can also be “branded” with company logos and/or the employee's name and position will also be visible on the image.

How does the photographed person get his picture?

To ensure that the CRM system or ActiveDirectory are not the only ones to gain possession of the new photos, the employee has three different ways to choose from to also receive his photo digitally.

1. Entry of the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email inbox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the different sizes for the different target systems.
3. Download from an offline gallery via QR code
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery where employees can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Of course, there is also the possibility to try out the system beforehand on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
