The use of a photo box for employee photos
The staff in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at locations that change on a regular basis (e.g. in the dining room or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional employees are not needed on site.
You give your workforce the option to identify themselves to 100% at any time with their individual employee photo.
The personal photos are automatically optimized to the best possible format, removed from disturbing elements in the background and optionally saved in many shapes and aspect ratios.
The solution
You position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box and read the instructions for the necessary actions on the monitor, just like with the passport photo machine.
The screen serves as a touchscreen in parallel as an input terminal for the required data such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the company ID card. The employee data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.
After photographing the employee portrait, the background of the recording can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a specified location on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). The file name is used to compare the photo taken with the in-house employee data record. We would be happy to support your IT department in determining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place simultaneously to some extent.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to receive their picture as a file.
- Enter the e-mail address at the end of the photo sequence.
The photo taken is then sent to the employee's mailbox. - Download via QR code from an offline gallery
The photobooth provides its own WLAN which the workforce has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download the original recording and the different versions for the different target systems.

To get the most out of your investment, you have the following options:

The need for investment
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
