The use of a photo box for employee photos

The staff in your company get the chance to photograph and/or update their own employee photo at a fixed location or at rotating locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to identify themselves around the clock to 100% with their individual employee photo.

The personal photos can be automatically cut to the ideal format, removed from disturbing elements in the background and, if desired, saved in various dimensions and aspect ratios.

A suggested solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID office or at reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo box, like at a passport photo machine, and see the instructions for the necessary actions on the monitor.

The monitor serves as a touchscreen at the same time as an input terminal for the required information such as e.g. B. Personnel number, first name, surname and/or date of birth.
Alternatively, the photo box can also be set up so that the data can simply be read from the employee ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal/external uses of the recording.

After photographing the employee portrait, the background of the recording can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a specified position on the final image.

The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the saved photo and the in-house employee data record via the name of the file. We would be happy to support your IT department in clarifying the import interface.

A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place simultaneously in different forms.

Of course, each file can also be "personalized" with company logos and/or the name and position of the employee will also appear on the image.

How does the photographed person get his picture?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the staff to choose from to also receive their picture digitally.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the various formats for the various target systems.
2. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the staff has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the staff can copy their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
3. Entry of the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's e-mail inbox.

Other uses

In order to make the best possible use of the acquisition, you have the following options:

The cost frame

The price for purchasing a photobooth perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
