The use of a photo box for employee photos
The employees in your company are given the opportunity to take their own employee photo and / or bring it up to date at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional personnel on site.
You give your teams the chance to always fully identify themselves with their individual employee photo.
The staff photos can be automatically optimized to the best format, removed from disruptive elements in the background and optionally saved in several dimensions and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary steps on the screen.
The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photobox can also be configured in such a way that the data can be read directly from the company ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the employee profile.
After the employee portrait has been taken, the background of the photo can automatically be exchanged for one or more backgrounds you have specified. The head of each photo is also analyzed, scaled to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio that you have specified (e.g. square for the ActiveDirectory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to support your IT department in defining the import interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place synchronously in several dimensions.

How does the photographed person get their photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the employee to get his picture as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the employee can use to copy down his or her original photo and the different sizes for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is then sent to the employee's e-mail inbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which the employee can download his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

In order to make the best possible use of your investment, you have the following options:

The need for investment
The investment for purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
