The mission goal
The staff in your company get the opportunity to photograph and/or update the personal employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on the spot.
You give your teams the opportunity to fully identify themselves at any time with their individual employee photo.
The personal photos can be independently adapted to the ideal format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.
One possible solution
You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees can stand in front of the photo box and see the instructions for the necessary actions on the display, just like with the passport photo machine.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up so that the data is read directly from the employee ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be presented with a release option for internal/external use of the recording.
After the employee picture has been photographed, the background of the photo can be automatically replaced with one or different backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and positioned at a defined point on the final image.
The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the file is used to compare the photograph taken with the internal employee data record. We would be happy to support your IT department in clarifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra option.
The image output can take place simultaneously in different formats.

Of course, each file can also be “personalized” with the company logo and/or the name and position of the employee can appear directly on the image.

How does the employee get his photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to receive their photo as a file.
- Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the staff has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which staff can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the staff can use to download the original recording and the various formats for the different target systems. - Enter the email address at the end of the photo sequence.
In this case, the photo taken is immediately sent to the employee's mailbox.
Other deployment options

The cost frame
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the possibility to try out the system beforehand on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over immediately.
