The mission goal

The field staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at rotating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that no extra personnel is needed on site.
You give your teams the opportunity to identify themselves to 100% at any time with their individual employee photo.

The personal photos can be cut to the right format, freed from disturbing elements in the background and saved in several shapes and aspect ratios if desired.

One possible solution

You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, just like with the passport photo machine, and see the instructions for the necessary steps on the screen.

The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read immediately from the employee ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee profile can also be displayed.

After the employee photo has been photographed, the background of the image can be automatically replaced with one or various backgrounds specified by you. Likewise, the head of each photo is determined, scaled to a specified size and positioned at a specified location on the final image.

The photo is saved in a size and aspect ratio that you specify (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the file name. We would be happy to support your IT department in clarifying the import interface.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in different sizes.

etc. at hand.

Of course, each file can also be “branded” using the company logo and/or the employee's name and position will appear directly on the image.

How does the photographed person get the picture?

To ensure that the CRM system or Active Directory are not the only ones to get hold of the new photos, the sales representative can choose from three different ways of getting his photo digitally.

1. Download from an offline gallery via QR code
   The photobooth provides a private WLAN that the sales representative has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the sales representative can download his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email inbox.
3. Download from an online gallery
   At the end of the sequence, a code is displayed on the touchscreen or printed out, which the field worker can use to load his original photo and the different sizes for the various target systems.

Other deployment options

In order to use the purchase optimally, the following application options are open to you:

• Use at trade fairs to produce personalized “flyers”
• Use at sales force parties (summer party, Christmas party ...}

• Photos of groups of visitors, for example after a presentation

The cost frame

The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
