The use of a photo box for employee photos

The workforce in your company has the opportunity to create and / or update individual employee photos at a fixed or periodically alternating location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your teams the chance to identify themselves completely with their personal employee photo at any time.

The staff photos are automatically optimized to the best possible format, removed from annoying elements in the background and optionally saved in different sizes and aspect ratios.

Our proposed solution

You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit down in front of the photo box in the same way as with the passport photo machine and see the operating instructions for the necessary steps on the touchscreen.

The screen serves as a touch screen in parallel as an input terminal for the required information such as B. Employee ID, first name, family name and / or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is immediately read in from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee profile can also be displayed.

After the employee portrait has been taken, the background of the image can be automatically exchanged for one or various backgrounds you have specified. The head of each photo is also analyzed, adjusted to a specified size and placed in a specified location on the final image.

The image will be saved in a size and aspect ratio determined by you (eg square for the ActiveDirectory). The file name is used to compare the captured image with the in-house employee data record. We would be happy to support your IT department in specifying the interface.

As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can happen in several dimensions at the same time.
So you always have the right photo for
LinkedIn, Outlook, Instagram, Twitter
etc. lying ready.

Logically, each file can also be “branded” with a company logo and / or the name and position of the employee can be directly visible on the picture.

How does the photographed person get the photo?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new images, there are three different ways for the staff to receive their photos digitally.

1. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the touchscreen, which the staff can use to copy down their original photo and the various formats for the different target systems.
2. Enter the email address at the end of the photo sequence.
   The captured photo is immediately sent to the employee's mailbox.
3. Download via QR code from an offline gallery
   The Photobox provides its own WLAN that the workforce has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the staff can load their photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.

The price for purchasing such a perfected photo box starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
