What should be achieved?

The staff in your company have the option of photographing and/or updating their personal employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to identify themselves to 100% around the clock with their individual employee photo.

The personal photos can be automatically adjusted to the ideal format, freed from annoying elements in the background and optionally saved in different shapes and aspect ratios.

One possible solution

You position a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to the photo booth, and read the instructions for the necessary actions on the display.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the employee ID card. The data collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the photo.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.

The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the stored image and the internal employee data record takes place via the name of the image. We would be happy to support your IT department in defining the interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra option.
The image output can be done in different formats at the same time.

etc. at hand.

Logically, each file can also be "personalized" with company logos and/or the designation and position of the employee will be immediately visible on the image.

How does the photographed person get his picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to choose to receive their photo as a file.

1. Enter the e-mail address at the end of the photo sequence.
   The captured photo is immediately sent to the employee's mailbox.
2. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN which the workforce has to dial into.
   At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the workforce can download their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download the original recording and the different versions for the various target systems.

Other uses

To get the most out of your investment, you have the following options:

• Use at trade fairs to issue personalized “flyers”
• Photos of groups of visitors, e.g. after a guided tour
• Use at staff parties (summer party, Christmas party ...}
• Production of biometric passport photos and ID photos

The cost frame

The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
