What should be achieved?
The employees in your company have the opportunity to create and/or update their own employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the opportunity to identify themselves to 100% with their individual employee photo.
The personal photos are automatically optimized to the best possible format, freed from disturbing elements in the background and optionally saved in some dimensions and aspect ratios.
One possible solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box and read the instructions for the necessary actions on the display, as with the passport photo machine.
The screen serves as a touch screen at the same time as an input terminal for the required data such as e.g. B. EmployeeID, name, surname and/or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data can simply be read in from the company ID card. The information collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be displayed.
After the employee portrait has been taken, the background of the image can be automatically exchanged for one or different backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and positioned at a defined point on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison between the saved image and the in-house employee data record takes place via the name of the image. We would be happy to help your IT department clarify the import interface.
A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in several formats at the same time.
So you always have the right photo for
XING, Instagram, Twitter, LinkedIn
etc. lying ready.
Of course, each file can also be “personalized” using company logos and/or the name and position of the employee can appear directly on the image.

How does the employee get his picture?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the employee to choose from to get his photo as a file.
- Enter the email address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's mailbox. - Download via QR code from an offline gallery
The photobooth provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the employee can copy his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download his original recording and the various versions for the various target systems.

To get the most out of your investment, you have the following options:

The cost frame
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
Customer ratings
Since the implementation of the system in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
