What should be achieved?

The employees in your company have the option of photographing and/or updating their personal employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that extra employees are not needed on site.
You give your teams the chance to identify themselves completely around the clock with their personal employee photo.

The personal photos can be cut to the optimal format by machine, freed from annoying elements in the background and, if desired, saved in a number of sizes and aspect ratios.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary steps on the monitor.

The screen serves as a touchscreen at the same time as an input terminal for the necessary data, such as B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photobooth can also be configured so that the data can be read directly from the employee ID card. The employee data recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the employee profile.

After photographing the employee picture, the background of the picture can be automatically replaced with one or various backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned at a defined position on the final image.

The image is saved in a size and format you define (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in clarifying the import interface.

A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image can be output in parallel in different formats.
So you always have the right photo for

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee are immediately visible on the picture.

How do the staff get their picture?

To ensure that the CRM system or Active Directory are not the only ones to benefit from the new photos, there are three different ways for the employee to choose from to receive their photo as a file.

1. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.
2. Download via QR code from an offline gallery
   The photo box provides its own WLAN, which the employee must dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery where the employee can load his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to copy his original recording and the various versions for the various target systems.

Other possible uses

To get the most out of your purchase, you have the following options:

• Photos of groups of visitors, for example after a presentation
• Recording of biometric passport photos and ID photos
• Use at employee parties (summer party, Christmas party ...}
• Use at trade fairs to produce personalized “flyers”

The need for investment

The investment for the purchase of a photobooth perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
