What should be achieved?
The employees in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is the case in the form of a self-service process and that additional staff are not needed on site.
You give your staff the chance to identify themselves completely around the clock with their personal employee photo.
The personal photos are automatically optimized to the right format, freed from disturbing elements in the background and optionally saved in several dimensions and aspect ratios.
Our proposed solution
You position a photo booth optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees will sit down in front of the photo booth and read the instructions for the necessary steps on the touchscreen, just like at the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the necessary data, e.g. B. Employee identifier, name, surname and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data is read directly from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a sharing option for internal/external use of the image.
After the photograph of the employee picture has been taken, the background of the recording can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the file is used to compare the portrait taken with the internal employee data set. We would be happy to support your IT department in determining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in several sizes at the same time.
So you always have the best possible photo for
WhatsApp & Co, XING, Instagram, Facebook, LinkedIn, Outlook
etc. at hand.
Of course, each file can also be “personalized” with the company logo and/or the name and position of the employee will appear directly on the image.

How does the employee get the photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the employee to get their photo digitally as well.
- Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where employees can load their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download the original recording and the various formats for the various target systems.
Other possible uses

The cost frame
The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to try out the system beforehand on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
