What should be achieved?
The staff in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the opportunity to identify themselves completely at any time with their personal employee photo.
The personal photos can be automatically optimized to the ideal format, freed from annoying elements in the background and optionally saved in many formats and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, similar to the photo booth, and see the operating instructions for the necessary steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the company ID card. The information recorded in this way is then later part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a release option for internal / external use of the recording.
After the employee picture has been taken, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a specified position on the final image.
The photo is saved in a size and format defined by you (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the file. We would be happy to help your IT department clarify the interface.
A biometric check and a cut to a biometric ID photo are available as an option.
The image can be output in many sizes at the same time.
So you always have the best possible photo for
the CRM system, Twitter, LinkedIn, Instagram
etc. ready.
Of course, each file can also be "branded" using the company logo and/or the name and position of the employee will appear directly on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the workforce to choose from to get their picture as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the workforce can use to download the original photo and the different formats for the various target systems. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN that the workforce has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the workforce can load their pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth. - Enter the e-mail address at the end of the photo sequence.
The photo taken is immediately sent to the employee's email address.
Alternative deployment options
In order to make the best possible use of your investment, you have the following options:
- Photo attraction at customer events & conferences
- Use at staff parties (summer party, Christmas party ...}
- Pictures of groups of visitors, e.g. after a tour
- Employee photos (as explained above)
- Recording of biometric passport photos and ID photos
The need for investment
The cost of purchasing a customized photo box starts at around €4,400 plus VAT and is worthwhile for companies with around 100 or more employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over directly.
