The mission goal

The employees in your company are given the opportunity to photograph and/or update their own employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the chance to fully identify themselves at any time with their individual employee photo.

The staff photos can be automatically adjusted to the best possible format, removed from annoying elements in the background and saved in different formats and aspect ratios if desired.

Our proposed solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, analogous to a passport photo machine, and see the instructions for the necessary steps on the touchscreen.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Personnel number, first name, last name and/or date of birth.
Alternatively, the Photobooth can also be configured in such a way that the data can be read directly from the company ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the photo can also be displayed.

After the employee portrait has been photographed, the background of the photo can be automatically replaced with one or various backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and positioned in a defined position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the file. We would be happy to help your IT department determine the connection.

A biometric check and an adaptation to a biometric ID photo are also available.
The image output can take place in various sizes at the same time.

Of course, each file can also be "branded" using company logos and/or the name and position of the employee can be visible on the image.

How does the employee get the photo?

So that not only the CRM system or the Active Directory gets the benefit of the new pictures, there are three different ways for the employees to get their picture digitally.

  1. Enter the email address at the end of the photo sequence.
    The photo taken is sent directly to the employee's mailbox.
  2. Download via QR code from an offline gallery
    The photo box provides its own WLAN that the employee has to dial into.
    At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where employees can save their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
  3. Download from an online gallery
    At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download the original recording and the various versions for the various target systems.

The cost frame

The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
