The use of a photo box for employee photos

The employees in your company get the opportunity to create and/or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the chance to identify themselves to 100% at any time with their personal employee photo.

The staff photos can be automatically adjusted to the best possible format, removed from disturbing elements in the background and optionally saved in several sizes and aspect ratios.

Our proposed solution

You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box, similar to a photo booth, and read the instructions for the necessary steps on the monitor.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The employee data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a confirmation option for internal / external use of the image.

After the employee picture has been taken, the background of the picture can be automatically exchanged for one or different backgrounds specified by you. The head is also located for each photo, scaled to a specified size and placed in a specified position on the final image.

The photo is saved in a size and aspect ratio that you specify (eg square for Active Directory). The name of the picture is used to compare the photograph taken with the internal employee data record. We would be happy to support your IT department in clarifying the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can happen simultaneously to some extent.
So you always have the best possible photo for
Outlook, Twitter, Facebook, LinkedIn, XING, Instagram, WhatsApp & Co, the CRM system
etc. are available.

Of course, each file can also be “branded” using the logo and/or the employee's name and position can appear directly on the image.

How did the staff come to the picture?

So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employees to get their picture digitally.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code will appear on the screen. This QR code leads to an offline gallery from which employees can copy their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download the original recording and the different formats for the various target systems.
3. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.

In order to make the best possible use of your investment, you have the following options:

The need for investment

The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
