What should be achieved?

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at a rotating location (e.g. in the casino or the company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your employees the chance to always fully identify themselves with their personal employee photo.

The personal photos can be automatically optimized to the best format, removed from disturbing elements in the background and optionally saved in many dimensions and aspect ratios.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box and read the instructions for the necessary actions on the monitor, as with the photo booth.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data can be read directly from the company ID card. The data collected in this way is then subsequently an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be displayed.

After photographing the employee picture, the background of the photo can be automatically exchanged for one or various backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned in a defined position on the final image.

The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the recorded image and the internal employee data record via the name of the file. We would be happy to help your IT department specify the interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in parallel in different dimensions.
So you always have the right photo for
WhatsApp & Co, LinkedIn, the CRM system, Twitter, Outlook, Instagram, Facebook, XING
etc. lying ready.

Of course, each file can also be “personalized” with the company's logo and/or the employee's name and position can appear directly on the image.

How does the employee get his photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his picture as a file.

1. Entry of the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.
2. Download from an offline gallery via QR code
   The photobox provides a private WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the various formats for the various target systems.

Other uses

In order to make the best possible use of the acquisition, you have the following possible uses:

• Photo attraction at customer events & meetings
• Photos of groups of visitors, e.g. after a tour
• Employee photos (as already explained)
• Production of biometric passport photos and ID photos
• Use at trade fairs to create personalized “flyers”

The cost frame

The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept directly.

Customer ratings

Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
