The mission goal
The staff in your company have the opportunity to create and/or update the individual employee photo at a fixed or periodically changing location (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional staff are not needed on site.
You give your teams the opportunity to identify themselves completely around the clock with their personal employee photo.
The staff photos can be automatically adapted to the best format, removed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.
A suggested solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo booth, similar to a passport photo machine, and see the operating instructions for the necessary actions on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, name, surname and / or date of birth.
Alternatively, the photo box can also be programmed so that the data is read directly from the employee ID card. The employee data collected in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the photo can also be displayed.
After the employee picture has been photographed, the background of the picture can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also identified, scaled to a specified size and placed in a specified position on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the saved image and the internal employee data record via the file name. We would be happy to help your IT department define the connection.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in parallel in several forms.

Logically, each file can also be "branded" with company logos and/or the name and position of the employee can be immediately included in the image.

How does the employee get his picture?
To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the staff to choose to receive their photo as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the staff can use to download their original photo and the various sizes for the various target systems. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the staff has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery where staff can load their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email address.
Additional deployment options
In order to get the most out of your investment, you have the following options:

The need for investment
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
