The use of a photo box for employee photos

The employees in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional human resources staff are not needed on site.
You give your staff the option to identify themselves at any time to 100% with their own employee photo.

The personal photos are automatically optimized to the ideal format, freed from annoying elements in the background and saved in several shapes and aspect ratios if desired.

The solution

You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit down in front of the photo box and see the instructions for the necessary actions on the display.

The screen serves as a touchscreen in parallel as an input terminal for the necessary information such as e.g. B. Personnel number, name, surname and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data is read directly from the employee ID card. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be displayed.

After photographing the employee portrait, the background of the image can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.

The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored image and the in-house employee data record takes place via the file name. We would be happy to support your IT department in defining the interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place at the same time in different dimensions.
So you always have the right photo for
the CRM system, Instagram, XING, Outlook, LinkedIn, Twitter, Facebook
etc. within easy reach.

Logically, each file can also be “personalized” with logos and/or the employee's name and position can be immediately visible on the image.

How does the photographed person get the picture?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the employee to choose from to get his picture as a file.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the different sizes for the different target systems.
2. Download via QR code from an offline gallery
   The Photo Box provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery where employees can save their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.

Other deployment options

In order to make the most of your investment, you have the following options:

• Use at trade fairs to create personalized “flyers”
• Photo attraction at customer events & congresses
• Pictures of groups of visitors, e.g. after a presentation
• Use at employee parties (summer party, Christmas party ...}

The cost frame

The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is retained.
