The mission goal
The employees in your company have the option of taking their personal employee photo and/or updating it at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that extra employees are not needed on the spot.
You give your employees the opportunity to fully identify themselves around the clock with their individual employee photo.
The personal photos are automatically adjusted to the best format, freed from disturbing elements in the background and, if desired, saved in several sizes and aspect ratios.
The solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photobooth in the same way as with a passport photo machine and see the operating instructions for the necessary steps on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the company ID card. The employee data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be presented with a sharing option for internal/external use of the photo.
After photographing the employee picture, the background of the picture can be automatically replaced with one or various backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and placed in a specified position on the final image.
The image is saved in a size and format that you specify (e.g. square for the ActiveDirectory). The name of the picture is used to compare the saved photo and the internal employee data record. We would be happy to help your IT department define the interface.
As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can happen simultaneously in different forms.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position can be directly visible on the image.

How does the employee get the picture?
To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for the employee to receive his photo as a file.
- Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's email inbox. - Download from an online gallery
At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to copy his original photo and the various versions for the various target systems. - Download from an offline gallery via QR code
The photobooth provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery from which the employee can download his recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.

The need for investment
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.

Since the system was introduced in 2019, two systems have been set up permanently in Germany and Switzerland.
