The use of a photo box for employee photos
The employees in your company have the opportunity to create and/or update their own employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that extra human resources staff are not needed on site.
You give your employees the option to always identify themselves 100% with their personal employee photo.
The personal photos can be automatically optimized to the best possible format, freed from annoying elements in the background and, if desired, saved in several shapes and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, just like with a passport photo machine, and read the instructions for the necessary steps on the monitor.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the company ID card. The information collected in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the recording can also be displayed.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and positioned at a specified location on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the file is used to compare the photograph taken with the in-house employee data record. We would be happy to support your IT department in determining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place simultaneously in different formats.
So you always have the right photo for
Facebook, XING, LinkedIn, Twitter, Outlook, Instagram
etc. at hand.
Logically, each file can also be “personalized” with the help of the company logo and/or the name and position of the employee will also be visible on the image.

How does the employee get his picture?
To ensure that the new photos are not only in the possession of the CRM system or the Active Directory, there are three different ways for the employee to choose to also receive their photo digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the different formats for the various target systems. - Download from an offline gallery via QR code
The photobox provides a private WLAN which the employee has to dial into.
At the end of the recording, a QR code will appear on the screen. That QR code leads to the offline gallery where employees can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's e-mail address.
Alternative uses
In order to make the best possible use of the purchase, you have the following options:
- Recording of biometric passport photos and ID photos

The need for investment
The investment for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept directly.
