The mission goal

The employees in your company are given the opportunity to photograph and/or update their personal employee photo at a fixed or regularly changing location (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional personnel on site.
You give your employees the option to identify themselves at any time to 100% with their individual employee photo.

The staff photos can be automatically cut to the best format, freed from annoying elements in the background and saved in several sizes and aspect ratios if desired.

One possible solution

You place a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo booth, similar to a passport photo machine, and read the operating instructions for the necessary actions on the display.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. EmployeeID, name, surname and/or date of birth.
Alternatively, the photobooth can also be configured so that the data can simply be read from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the image can also be displayed.

After the employee photo has been taken, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in defining the interface.

A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place in several forms at the same time.

Of course, each file can also be “branded” with logos and/or the name and position of the employee will appear directly on the image.

How does the photographed person get the photo?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the employee to get his photo digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy his original photo and the different sizes for the different target systems.
2. Entry of the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email inbox.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the employee can download his pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

In order to make the best possible use of the purchase, you have the following options:

The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
