The mission goal
The employees in your company are given the opportunity to create and / or update their individual employee photo at a fixed or periodically changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that no extra staff is needed on site.
You give your employees the option to fully identify themselves at any time with their own employee photo.
The staff photos can be automatically adjusted to the best possible format, freed from disturbing elements in the background and optionally saved in different shapes and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees can stand in front of the photo booth, similar to a passport photo machine, and see the instructions for the necessary steps on the touchscreen.
The screen serves as a touch screen in parallel as an input terminal for the necessary information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the employee ID card. The employee data collected in this way are then later part of the file name of the employee photo.
Optionally, a data protection screen can be set up with a confirmation option for internal / external use of the image.
After the employee portrait has been taken, the background of the picture can be automatically replaced with one or more of the background settings you specified. In the same way, the head is found for each photo, adjusted to a specified size and positioned on the final image at a specified position.
The photo will be saved in a size and aspect ratio that you have specified (e.g. square for the ActiveDirectory). The file name is used to compare the photo taken and the internal employee data record. We would be happy to support your IT department in defining the import interface.
A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place in different dimensions at the same time.
So you always have the best photo for
the CRM system, XING, Facebook, Twitter, LinkedIn, WhatsApp & Co, Outlook, Instagram
etc. are available.
Of course, each file can also be “personalized” with company logos and / or the designation and position of the employee will appear on the picture.

How do the staff get their picture?
So that not only the CRM system or the ActiveDirectory come into possession of the new photos, employees can choose between three different ways to receive their photos as a file.
- Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery in which employees can upload their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.

At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy down his or her original photo and the various sizes for the various target systems.

The need for investment
The cost of buying such a perfected photo box starts at around € 4,400 plus VAT and is worthwhile for organizations with around 100 employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
