What should be achieved?
The workforce in your company has the opportunity to take their own employee photo at a fixed location or at a location that changes regularly (e.g. in the dining room or the company canteen or HR department) and / or bring it up to date.
It is important that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the option to always identify themselves 100% with their personal employee photo.
The staff photos can be automatically adjusted to the ideal format, freed from disturbing elements in the background and optionally saved in several shapes and aspect ratios.
The solution
You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There the employees can sit down in front of the photo box in the same way as with a passport photo machine and read the instructions for the necessary steps on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. ID, first name, family name and / or date of birth.
Alternatively, the photo booth can also be configured in such a way that the data can be read in immediately from the company ID card. The data recorded in this way are then later an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the photo can also be displayed.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or various backgrounds you have specified. The head of each photo is also found, scaled to a specified size and placed on the final image at a defined location.
The image is saved in a size and format defined by you (e.g. square for the ActiveDirectory). The file name is used to compare the saved image with the in-house employee data record. We would be happy to support your IT department in clarifying the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in several dimensions at the same time.

Logically, each file can also be “branded” with the help of the company logo and / or the name and position of the employee can also be on the picture.

How does the employee get his picture?
So that the CRM system or the ActiveDirectory alone does not benefit from the new photos, there are three different ways for the workforce to get their photos digitally.

Then the captured photo is immediately sent to the employee's email inbox. - Download from an offline gallery via QR code
The photobox provides its own WLAN which the workforce has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery from which the staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box. - Download from an online gallery
At the end of the recording, a code is displayed or printed out on the screen, which the staff can use to download the original recording and the different sizes for the various target systems.
Other deployment options
In order to make the best possible use of your investment, you have the following options:

The need for investment
The cost of buying a photo box adapted in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the option of testing the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
