The use of a photo box for employee photos
The employees in your company get the chance to photograph and/or update the personal employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that you do not need extra staff on site.
You give your staff the chance to always fully identify themselves with their individual employee photo.
The staff photos can be independently adapted to the best possible format, removed from annoying elements in the background and optionally saved in many dimensions and aspect ratios.
A suggested solution
You can place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees can sit in front of the photo box and read the instructions for the necessary actions on the monitor, similar to the photo booth.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The information recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a share option for internal / external use of the photo.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or many backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and positioned in a specified position on the final image.
The recording is saved in a size and format you specify (eg square for Active Directory). A comparison between the photographed portrait and the in-house employee data record takes place via the file name. We would be happy to help your IT department specify the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in parallel in various formats.
So you always have the right photo for
XING, Outlook, WhatsApp & Co, Twitter, Facebook, Instagram, the CRM system
etc. are available.
Of course, each file can also be “personalized” with company logos and/or the employee's name and position can be directly visible on the image.

How do the staff get their picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the employees to get their picture digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download the original photo and the various versions for the various target systems. - Download from an offline gallery via QR code
The photo box provides a private WLAN that the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox.
Other deployment options
To get the most out of your investment, you have the following options:

The need for investment
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over immediately.
