What should be achieved?
The employees in your company get the chance to photograph and/or update their personal employee photo at a fixed location or at alternating locations (e.g. in the dining room or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that you do not need extra employees on site.
You give your staff the opportunity to identify themselves completely around the clock with their personal employee photo.
The staff photos can be independently optimized to the best format, freed from disturbing elements in the background and saved in many sizes and aspect ratios if desired.
A suggested solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary actions on the display.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information, e.g. B. Personnel number, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is simply read in from the employee ID card. The employee data recorded in this way then subsequently becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be presented with a confirmation option for internal/external uses of the image.
After photographing the employee portrait, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio defined by you (eg square for the Active Directory). The name of the file is used to compare the portrait taken with the in-house employee data record. We would be happy to support your IT department in specifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in parallel in many dimensions.

Logically, each file can also be “personalized” with company logos and/or the name and position of the employee can be directly visible on the image.

How does the photographed person get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employees to get their photo as a file.
- Enter the email address at the end of the photo sequence.
In this case, the photo taken is immediately sent to the employee's e-mail inbox. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where employees can load their pictures. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which employees can use to download their original photo and the various versions for the various target systems.

In order to make the best possible use of the acquisition, you have the following options:

The cost frame
The cost of purchasing such a perfect photo booth starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
