The use of a photo box for employee photos
The staff in your company are given the opportunity to create and / or update their individual employee photo at a fixed or periodically alternating location (e.g. in the dining room or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your staff the opportunity to fully identify themselves around the clock with their individual employee photo.
The staff photos can be automatically optimized to the best format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.
The solution
You can place a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit down in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary actions on the monitor.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personal identification, first name, family name and / or date of birth.
Alternatively, the photo booth can also be set up so that the data can be read directly from the company ID card. The information recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.
Following the photograph of the employee portrait, the background of the photo can be automatically replaced with one or more backrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a specified position on the final image.
The photo is saved in a size and format specified by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the saved image with the in-house employee data record. We would be happy to support your IT department in specifying the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in various sizes at the same time.

How does the employee get the picture?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for staff to receive their photos digitally.
- Download from an online gallery
At the end of the recording, a code is displayed or printed on the screen, which the staff can use to copy down their original recording and the different formats for the various target systems. - Enter the email address at the end of the photo sequence.
The photo taken is immediately sent to the employee's email address. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the staff has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery in which the staff can load their photos. In contrast to the online gallery, this path only works in the direct vicinity of the photo box.
