The mission goal

The employees in your company have the option to create and / or update their individual employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the chance to identify themselves completely at any time with their individual employee photo.

The staff photos are automatically adapted to the ideal format, freed from disturbing elements in the background and optionally saved in various sizes and aspect ratios.

Our proposed solution

You position a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees will sit down in front of the photo box in the same way as with the passport photo machine and read the instructions for the necessary steps on the screen.

The screen serves as a touch screen at the same time as an input terminal for the required data such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data can be read in immediately from the company ID card. The employee data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the employee profile.

After the employee picture has been taken, the background of the photo can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed on the final image at a specified location.

The photo is saved in a size and format you have specified (e.g. square for the ActiveDirectory). The file name is used to compare the captured image and the internal employee data record. We would be happy to support your IT department in defining the connection.

As an extra option, a biometric check and an adaptation to a biometric ID photo are available.
The image output can take place in various forms at the same time.

etc. at hand.

Of course, each file can also be “personalized” with the help of the company logo and / or the name and position of the employee will be immediately visible on the picture.

How did the staff get the photo?

So that not only the CRM system or the ActiveDirectory get the new photos, there are three different ways for the employee to receive his photo digitally.

1. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the screen, which the employee can use to load his or her original photo and the different versions for the different target systems.
2. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the employee can save his or her pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is sent directly to the employee's mailbox.

To get the most out of your investment, you have the following options:

The need for investment

The price for buying a photo box optimized in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is kept immediately.
