The mission goal

The field staff in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at rotating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the opportunity to always identify themselves to 100% with their personal employee photo.

The personal photos are automatically optimized to the right format, freed from disturbing elements in the background and optionally saved in various dimensions and aspect ratios.

A suggested solution

You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to the photo booth, and read the instructions for the necessary steps on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information, e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data is read directly from the employee ID card. The data recorded in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the employee portrait can also be displayed.

After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or various backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and positioned in a specified position on the final image.

The recording is saved in a size and format specified by you (eg square for the Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to help your IT department define the connection.

A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place in parallel in various sizes.

Logically, each file can also be “personalized” using the company logo and/or the employee's name and position will be immediately visible on the image.

How does the photographed person get his picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the sales representative to choose from to also receive his photo as a file.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the sales representative can use to download his original photo and the different versions for the various target systems.
2. Enter the e-mail address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
3. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN which the sales representative has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery from which the sales representative can load his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

The cost frame

The investment for the purchase of such a perfected photo box starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
