The mission goal
The staff in your company have the option of creating and/or updating the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that you do not need additional employees on site.
You give your employees the chance to identify themselves completely at any time with their individual employee photo.
The personal photos can be automatically optimized to the best format, freed from disturbing elements in the background and optionally saved in many dimensions and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, like at a passport photo machine, and read the instructions for the necessary actions on the touchscreen.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information, e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo booth can also be programmed in such a way that the data can be read directly from the company ID card. The information recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the image can also be set up.
After photographing the employee portrait, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and placed at a defined point on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the file name. We would be happy to support your IT department in specifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place synchronously in different forms.
So you always have the best possible photo for
WhatsApp & Co, Twitter, the CRM system, Outlook
etc. are available.
Of course, each file can also be "personalized" with company logos and/or the name and position of the employee will be immediately included in the picture.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to choose to also get their photo digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the staff can use to download their original recording and the different formats for the various target systems. - Download via QR code from an offline gallery
The photobox provides a private WLAN that the staff has to dial into.
At the end of the recording, a QR code will appear on the screen. That QR code leads to an offline gallery from which staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
In this case, the photo taken will be sent directly to the employee's email address.
Other uses
In order to make the best possible use of your investment, you have the following options:
- Production of biometric passport photos and ID photos
- Employee photos (as explained above)
- Photos of groups of visitors, for example after a presentation
- Photo attraction at customer events & meetings
- Use at staff parties (summer party, Christmas party ...}
- Use at trade fairs to produce personalized “flyers”
The need for investment
The investment for the purchase of a photobooth perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.
