The use of a photo box for employee photos

The employees in your company are given the opportunity to create and/or update their own employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional personnel are not needed on site.
This gives your workforce the opportunity to identify themselves to 100% around the clock with their individual employee photo.

The staff photos are automatically cut to the best possible format, freed from disturbing elements in the background and optionally saved in several formats and aspect ratios.

One possible solution

You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photobooth in the same way as with the passport photo machine and see the instructions for the necessary actions on the display.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data is read directly from the employee ID card. The employee data recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the employee report can also be set up.

After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and placed in a specified location on the final image.

The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored portrait and the in-house employee data record takes place via the name of the file. We would be happy to support your IT department in defining the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can be done in different sizes at the same time.
So you always have the ideal photo for
Outlook, Twitter, XING, the CRM system
etc. ready.

Of course, each file can also be “personalized” with the help of the logo and/or the name and position of the collaborator will also appear on the image.

How do the staff get their picture?

So that not only the CRM system or the ActiveDirectory come into possession of the new photos, there are three different ways for employees to receive their photos digitally.

1. Download via QR code from an offline gallery
   The photobooth provides its own WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where employees can download their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download the original photo and the various sizes for the different target systems.
3. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's e-mail inbox.

Other deployment options

To get the most out of your investment, you have the following options:

• Photos of groups of visitors, e.g. after a tour of the company
• Use at company celebrations (summer party, Christmas party ...}
• Creation of biometric passport photos and ID photos
• Employee photos (as explained above)
• Photo attraction at customer events & meetings

The cost frame

The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
