The mission goal
The staff in your company are given the opportunity to photograph their own employee photo and/or update it at a fixed location or at regularly changing locations (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the opportunity to identify themselves around the clock to 100% with their individual employee photo.
The staff photos can be automatically cut to the appropriate format, freed from annoying elements in the background and saved in several formats and aspect ratios if desired.
One possible solution
You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and see the instructions for the necessary actions on the touchscreen, as with the passport photo machine.
The monitor serves as a touch screen in parallel as an input terminal for the required data, e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photobooth can also be configured so that the data is simply read from the employee ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a release option for internal/external use of the employee portrait.
After the employee portrait has been taken, the background of the photo can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format defined by you (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the name of the picture. We would be happy to help your IT department determine the connection.
A biometric check and a cut to a biometric ID photo are available as options.
The image output can take place simultaneously in different dimensions.

Logically, each file can also be “branded” with company logos and/or the name and position of the employee can be directly visible on the image.

How does the employee get their photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the workforce to get their photo digitally.
- Download via QR code from an offline gallery
The photo box provides its own WLAN, which the workforce must dial into.
At the end of the recording, a QR code is displayed on the screen. That QR code leads to an offline gallery where employees can download their images. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox. - Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the workforce can use to download the original recording and the various versions for the various target systems.
Further deployment options
In order to make the best possible use of the purchase, you have the following options:

The need for investment
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and pays off for organizations with around 100 employees or more.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
