The mission goal

The employees in your company have the option to create and / or update their personal employee photo at a fixed or periodically alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional staff are not needed on site.
You give your staff the opportunity to identify themselves 100% with their personal employee photo.

The staff photos are automatically cut to the optimal format, freed from annoying elements in the background and optionally saved in several formats and aspect ratios.

The solution

You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There the employees can sit in front of the photo box, similar to the passport photo machine, and see the operating instructions for the necessary actions on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photobox can also be set up so that the data can be read in directly from the employee ID. The employee data recorded in this way are then later a component of the file name of the employee photo taken.
Optionally, a disclaimer screen can be displayed with a release option for internal / external use of the photo.

Following the photograph of the employee portrait, the background of the picture can be automatically replaced with one or many backrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined position on the final image.

The recording is saved in a size and format defined by you (e.g. square for the ActiveDirectory). The name of the picture is used to compare the saved picture and the internal employee data record. We would be happy to support your IT department in defining the interface.

A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can happen synchronously to a certain extent.
So you always have the right photo for
WhatsApp & Co, Outlook, Instagram, the CRM system
etc. are available.

Of course, each file can also be “personalized” with company logos and / or the name and position of the employee are directly visible on the picture.

How does the photographed person get his picture?

So that not only the CRM system or the ActiveDirectory get the new photos, employees can choose between three different ways to get their photo as a file.

1. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN that the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery in which employees can upload their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box.
2. Entry of the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
3. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the screen, which the employee can use to copy down his or her original photo and the various sizes for the various target systems.

In order to get the most out of your purchase, you have the following options:

The cost frame

The price for the purchase of such a perfected photo box starts at approx. 4,400 € plus VAT and pays off for companies with around 100 employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained directly.

Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
