The mission goal
The employees in your company have the opportunity to photograph and/or update their own employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional on-site personnel are not required.
You give your employees the option to fully identify themselves at any time with their individual employee photo.
The personal photos can be independently cut to the appropriate format, removed from disruptive elements in the background and optionally saved in many shapes and aspect ratios.
A suggested solution
You position a photobox set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary actions on the touchscreen.
The screen serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel number, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read directly from the company ID. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the employee report.
After the employee portrait has been photographed, the background of the recording can be automatically exchanged for one or various backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format specified by you (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the name of the file. We would be happy to help your IT department define the interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place at the same time in various dimensions.
So you always have the ideal photo for
LinkedIn, Instagram, Facebook, XING, Outlook, WhatsApp & Co, the CRM system, Twitter
etc. are available.
Logically, each file can also be “personalized” with company logos and/or the employee's name and position will be included in the image.

How did the staff get the photo?
So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to choose from to get his photo as a file.
- Download via QR code from an offline gallery
The photobooth provides a private WLAN that the employee has to dial into.
At the end of the photo sequence, a QR code will appear on the screen. The QR code leads to the offline gallery from which employees can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
Then the captured photo is sent directly to the worker's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the different formats for the various target systems.
Other uses
To get the most out of your investment, you have the following options:

The need for investment
The investment for the purchase of a photo booth optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is retained.
