The use of a photo box for employee photos
The employees in your company have the option of taking their own employee photo and/or updating it at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your employees the chance to identify themselves to 100% around the clock with their own employee photo.
The personal photos are automatically optimized to the ideal format, freed from annoying elements in the background and optionally saved in a number of shapes and aspect ratios.
Our proposed solution
You position a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in a similar way to a passport photo machine and see the operating instructions for the necessary actions on the screen.
The screen serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the employee portrait can also be displayed.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned at a defined point on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the stored photo and the internal employee data record takes place via the file name. We would be happy to support your IT department in defining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra option.
The image output can take place in different forms at the same time.
So you always have the best possible photo for
Instagram, Twitter, Facebook, the CRM system, LinkedIn, Outlook
etc. within easy reach.
Of course, each file can also be “personalized” with the company's logo and/or the employee's name and position will be immediately visible on the image.

How do the staff get their picture?
So that not only the CRM system or the Active Directory gets the benefit of the new pictures, there are three different ways for the employees to get their picture digitally.
- Download via QR code from an offline gallery
The Photobox provides its own WLAN, which the company employees must dial into.
At the end of the photo sequence, a QR code will appear on the screen. The QR code leads to the offline gallery where employees can copy their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to load his original photo and the different versions for the different target systems.
Alternative deployment options
In order to make the best possible use of the acquisition, you have the following possible uses:
- Photo attraction at customer events & congresses
- Recording of biometric passport photos and ID photos
- Photos of groups of visitors, e.g. after a tour
- Employee photos (as already described)
- Use at company celebrations (summer party, Christmas party ...}
The need for investment
The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is worthwhile for companies with around 100 or more employees.
Of course, there is also the option to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
