What should be achieved?
The employees in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or company canteen or human resources department).
It is important that this happens in the form of a self-service process and that you do not need extra employees on site.
You give your employees the chance to identify themselves to 100% at any time with their personal employee photo.
The personal photos can be automatically cropped to the best format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.
The solution
You position a photo box set up for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photobooth in a similar way to the passport photo machine and see the operating instructions for the necessary actions on the touchscreen.
The monitor serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo booth can also be set up so that the data can be read directly from the employee ID card. The information collected in this way is later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the photo can also be displayed.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or various backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned in a specified position on the final image.
The recording is saved in a size and aspect ratio defined by you (eg square for the Active Directory). The file name is used to compare the photograph taken with the internal employee data record. We would be happy to support your IT department in clarifying the interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place simultaneously in many dimensions.

Logically, each file can also be “personalized” with company logos and/or the employee's name and position can be directly visible on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the different formats for the various target systems. - Entry of the email address at the end of the photo sequence.
The captured photo is sent directly to the employee's email inbox. - Download via QR code from an offline gallery
The Photo Box provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery where employees can load their recordings. In contrast to the online gallery, this path only works in the direct vicinity of the photo box.

In order to get the most out of your purchase, you have the following options:

The cost frame
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
