What should be achieved?

The employees in your company have the opportunity to create and / or update their personal employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that you do not need additional staff on site.
You give your employees the opportunity to identify themselves completely around the clock with their own employee photo.

The staff photos are automatically optimized to the ideal format, removed from annoying elements in the background and optionally saved in many shapes and aspect ratios.

A suggested solution

You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to the passport photo machine, and read the instructions for the required steps on the touchscreen.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data can be read in immediately from the employee ID card. The information collected in this way is then subsequently an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal / external use of the recording.

After the photo of the employee portrait, the background of the photo can be automatically exchanged for one or more of the backgrounds you have specified. The head of each photo is also located, scaled to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the photographed image and the internal employee data record. We would be happy to support your IT department in clarifying the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place synchronously in different dimensions.

Logically, each file can also be “personalized” with a company logo and / or the name and position of the employee can be immediately shown on the picture.

How does the employee get the picture?

So that not only the CRM system or the ActiveDirectory can benefit from the new recordings, employees can choose between three different ways to get their picture digitally.

1. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the employee can save his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photobox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed out on the screen, which the employee can use to copy down his or her original photo and the different versions for the various target systems.
3. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email inbox.
