The use of a photo box for employee photos
The field staff in your company are given the opportunity to photograph and/or update the personal employee photo at a fixed location or at locations that change on a regular basis (e.g. in the dining room or company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that you do not need additional personnel on site.
This gives your workforce the opportunity to always fully identify themselves with their own employee photo.
The personal photos can be automatically adapted to the ideal format, removed from annoying elements in the background and, if desired, saved in many sizes and aspect ratios.
Our proposed solution
You can place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box and read the instructions for the necessary actions on the touchscreen, similar to the photo booth.
The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as e.g. B. Personnel number, first name, family name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the company ID card. The data collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a sharing option for internal/external use of the image.
After the photograph of the employee portrait, the background of the recording can be automatically exchanged for one or different backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a specified location on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the saved image and the in-house employee data record takes place via the file name. We would be happy to help your IT department determine the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place synchronously in various formats.

Of course, each file can also be “branded” using the logo and/or the name and position of the employee can be directly visible on the image.

How did the staff get the photo?
To ensure that the CRM system or Active Directory are not the only ones to benefit from the new recordings, the sales representative can choose from three different ways of getting their picture as a file.
- Enter the email address at the end of the photo sequence.
The photo taken is then immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the screen or printed out, which the sales representative can use to download his original photo and the various formats for the different target systems. - Download from an offline gallery via QR code
The photobox provides its own WLAN which the field service employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where the sales representative can load his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The cost frame
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is retained.
Customer ratings
Since the system was introduced in 2019, two systems have been permanently installed in Germany and Zurich.
