What should be achieved?
The employees in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the opportunity to identify themselves to 100% at any time with their own employee photo.
The personal photos can be automatically cut to the ideal format, freed from disturbing elements in the background and optionally saved in different formats and aspect ratios.
The solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box, similar to the photo booth, and see the instructions for the necessary actions on the touchscreen.
The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel number, name, surname and/or date of birth.
Alternatively, the Photo Box can also be set up so that the data is simply read in from the employee ID card. The data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the employee profile can also be displayed.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or many backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison between the stored photo and the internal employee data record takes place via the file name. We would be happy to support your IT department in specifying the connection.
A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can take place synchronously in different forms.
So you always have the best possible photo for
XING, the CRM system, LinkedIn, Facebook, WhatsApp & Co, Outlook
etc. lying ready.
Of course, each file can also be “branded” using the company logo and/or the name and position of the employee can appear directly on the image.

How does the employee get his picture?
So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to get his photo as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to copy his original photo and the various formats for the various target systems. - Download via QR code from an offline gallery
The Photobox provides a private WLAN which the employee must dial into.
At the end of the recording, a QR code will appear on the screen. The QR code leads to an offline gallery from which employees can copy their images. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth. - Enter the email address at the end of the photo sequence.
In this case, the photo taken is immediately sent to the employee's e-mail address.

To get the most out of your investment, you have the following options:

The cost frame
The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
