The use of a photo box for employee photos

The employees in your company get the opportunity to photograph and/or update their own employee photo at a fixed or rotating location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the opportunity to identify themselves completely around the clock with their own employee photo.

The personal photos are automatically adapted to the appropriate format, irritating elements are removed from the background and, if desired, saved in different sizes and aspect ratios.

The solution

You place a photo box optimized for employee photos in your company (e.g. in the personnel department, at the ID office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and see the instructions for the necessary actions on the screen, just like with the photo booth.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary data such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the employee ID card. The information recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal/external use of the employee portrait can also be displayed.

Following the recording of the employee portrait, the background of the recording can be automatically replaced with one or different backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and positioned at a specified location on the final image.

The photo is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison is made between the saved photo and the in-house employee data record via the name of the file. We would be happy to support your IT department in defining the interface.

A biometric check and a cut to a biometric ID photo are available as options.
The image output can take place in several forms at the same time.
So you always have the right photo for
LinkedIn, XING, Outlook, Facebook
etc. are available.

Of course, each file can also be “personalized” with logos and/or the name and position of the employee can be immediately visible on the image.

How does the employee get his picture?

So that the CRM system or Active Directory alone does not get hold of the new pictures, there are three different ways for the employee to get their picture digitally.

  1. Download from an online gallery
    At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download the original photo and the various versions for the various target systems.
  2. Download via QR code from an offline gallery
    The photo box provides its own WLAN that the employee has to dial into.
    At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery where employees can save their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
  3. Entry of the email address at the end of the photo sequence.
    The photo taken is immediately sent to the employee's mailbox.

Alternative uses

In order to get the most out of your investment, you have the following options:

The cost frame

The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
