The mission goal
The staff in your company have the option of photographing and / or updating the individual employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the opportunity to identify themselves to 100% at any time with their own employee photo.
The staff photos are automatically cut to the best format, freed from annoying elements in the background and optionally saved in different formats and aspect ratios.
A suggested solution
You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees will sit down in front of the photo booth in the same way as with the passport photo machine and see the instructions for the necessary steps on the monitor.
The screen serves as a touch screen at the same time as an input terminal for the required information such as B. ID, name, family name and / or date of birth.
Alternatively, the photobox can also be set up so that the data can be read in immediately from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the employee profile can be set up.
Following the photograph of the employee picture, the background of the picture can be automatically exchanged for one or various backrounds you have specified. The head is also found for each photo, adjusted to a specified size and positioned on the final image at a defined point.
The photo is saved in a size and aspect ratio determined by you (e.g. square for the ActiveDirectory). A comparison between the saved portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in determining the connection.
A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take many forms at the same time.
So you always have the right photo for
XING, Outlook, LinkedIn, the CRM system, WhatsApp & Co
etc. at hand.
Of course, each file can also be “branded” with the help of the company logo and / or the name and position of the employee can be immediately included on the picture.

How do the staff get their picture?
So that not only the CRM system or the ActiveDirectory can enjoy the new images, there are three different ways for staff to get their image as a file.
- Download via QR code from an offline gallery
The photobooth provides a private WLAN which the staff has to dial into.
At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery in which the staff can upload their photos. In contrast to the online gallery, this path only goes in the immediate vicinity of the photobox. - Entry of the email address at the end of the photo sequence.

At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the different versions for the various target systems.
Other deployment options
In order to make the best possible use of your investment, you have the following options:

The need for investment
The cost of purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the chance to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
