The use of a photo box for employee photos
The field staff in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at periodically changing locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your workforce the chance to identify themselves completely at any time with their personal employee photo.
The personal photos are automatically cut to the appropriate format, freed from disturbing elements in the background and, if desired, saved in many sizes and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the personnel department, at the ID office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary actions on the touchscreen.
The screen serves as a touch screen in parallel as an input terminal for the necessary data, e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is read directly from the employee ID card. The information recorded in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the recording can also be displayed.
After photographing the employee picture, the background of the picture can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and positioned in a defined position on the final image.
The image is saved in a size and aspect ratio that you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the picture. We would be happy to help your IT department clarify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can be done synchronously in many sizes.

How does the employee get the photo?
So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the sales representative to choose from to get his photo digitally as well.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the sales representative can use to download the original recording and the different versions for the different target systems. - Entry of the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's inbox. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the field worker has to dial into.
At the end of the recording, a QR code is displayed on the screen. That QR code leads to the offline gallery where the sales representative can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
