The mission goal
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that you do not need additional staff on site.
You give your workforce the chance to always identify 100% with their individual employee photo.
The personal photos can be automatically cut to the appropriate format, removed from disturbing elements in the background and, if desired, saved in different dimensions and aspect ratios.
Our proposed solution
You position a photo box perfect for employee photos in your company (e.g. in the cafeteria, at the ID office or at reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary steps on the screen.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information such as e.g. B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can simply be read from the company ID card. The employee data recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the employee profile can also be displayed.
After the employee picture has been photographed, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned at a specified location on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the saved photo and the in-house employee data record via the name of the file. We would be happy to help your IT department specify the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an option.
The image output can take place in many forms at the same time.
So you always have the best possible photo for

etc. at hand.
Of course, each file can also be “personalized” with the help of the logo and/or the employee's name and position can be directly visible on the image.

How did the staff get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to choose to receive his picture as a file.
- Entry of the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy his original image and the various sizes for the various target systems.
Further deployment options
In order to make the best possible use of the investment, the following betting options are available to you:

The need for investment
The cost of purchasing a photo booth adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the possibility to try out the system beforehand on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
Customer ratings
Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
