The use of a photo box for employee photos

The employees in your company have the option of photographing and / or updating their own employee photo at a fixed or regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need extra staff on site.
This gives your workforce the option to always fully identify themselves with their personal employee photo.

The staff photos are automatically adapted to the appropriate format, freed from disruptive elements in the background and optionally saved in some formats and aspect ratios.

One possible solution

You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There the employees can sit in front of the photo booth, similar to a passport photo machine, and read the instructions for the necessary actions on the monitor.

The monitor serves as a touchscreen in parallel as an input terminal for the necessary information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the Photo Box can also be programmed so that the data can be read directly from the company ID. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be displayed.

After the employee picture has been taken, the background of the picture can be automatically replaced with one or more backrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed on the final image at a defined position.

The photo is saved in a size and format defined by you (e.g. square for the ActiveDirectory). The file name is used to compare the photographed image and the internal employee data record. We would be happy to help your IT department specify the connection.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place in different formats at the same time.

Logically, each file can also be “branded” with a company logo and / or the name and position of the employee can be immediately shown on the picture.

How does the photographed person get his picture?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new images, employees can choose between three different ways to receive their image digitally.

1. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
2. Download via QR code from an offline gallery
   The photobox provides a private WLAN that the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the employee can save his or her pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the Photo Box.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the screen, which the employee can use to copy down his or her original photo and the different sizes for the various target systems.

Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased directly.
