The mission goal
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed or periodically changing location (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the opportunity to identify themselves to 100% at any time with their own employee photo.
The staff photos can be independently adjusted to the best possible format, removed from annoying elements in the background and optionally saved in some dimensions and aspect ratios.
The solution
You place a photo box optimized for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, as with the passport photo machine, and see the operating instructions for the necessary actions on the display.
The monitor serves as a touch screen in parallel as an input terminal for the necessary information, e.g. B. ID, name, surname and/or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read directly from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the employee profile.
After the employee picture has been taken, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head is also identified for each photo, adjusted to a specified size and positioned in a specified position on the final image.
The recording is saved in a size and format specified by you (eg square for the Active Directory). A comparison between the stored image and the in-house employee data record takes place via the name of the file. We would be happy to support your IT department in specifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in various sizes at the same time.

Logically, each file can also be “branded” using the company logo and/or the employee's name and position will appear directly on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to choose from to also receive his photo digitally.
- Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email address. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download the original image and the various sizes for the various target systems. - Download via QR code from an offline gallery
The Photo Box provides a private WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where the employee can load his recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

The need for investment
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option of trying out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is taken over directly.
