The use of a photo box for employee photos
The staff in your company have the option of photographing and/or updating their own employee photo at a fixed location or at rotating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the chance to identify themselves completely at any time with their individual employee photo.
The personal photos are automatically optimized to the optimal format, freed from annoying elements in the background and optionally saved in a number of sizes and aspect ratios.
A suggested solution
You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID card office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box similar to a passport photo machine and see the operating instructions for the necessary steps on the touchscreen.
The monitor serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data is read directly from the employee ID card. The information recorded in this way is later part of the file name of the employee photo taken.
Optionally, a privacy screen can also be set up with a sharing option for internal/external use of the recording.
After the employee picture has been photographed, the background of the recording can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the saved portrait and the in-house employee data record takes place via the file name. We would be happy to support your IT department in clarifying the interface.
A biometric check and a cut to a biometric ID photo are also available.
The image can be output in many formats at the same time.
So you always have the best photo for
XING, Twitter, WhatsApp & Co, Instagram
etc. lying ready.
Of course, each file can also be “personalized” with a company logo and/or the employee's name and position will be included in the image.

How does the photographed person get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the staff to get their picture digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the various versions for the various target systems. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is sent directly to the employee's mailbox. - Download from an offline gallery via QR code
The photo box provides its own WLAN which the staff has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Other possible uses
In order to get the most out of your investment, you have the following options:

The need for investment
The cost of purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept directly.
